Before signing any agreement, we highly suggest you to carefully read our terms & conditions. We are completely transparent with all our policies and there are no hidden costs, charges, or articles.

If you are booking any Trekking, Climbing, Expedition, or Tour packages, you will be bound with all these terms & conditions. You will get to know about booking procedures, booking confirmation, payment, refund policy, cancellation policy, and other things in terms & conditions.

While booking any trip with us, you will be agreeing to be bound with our terms & conditions.

Payment Process

The deposit can be sent by bank transfer or by Credit Card/Debit Card (Visa, MasterCard, Union Pay, American Express, and JCP).

(1) Payment by Credit Card and Debit Card (Visa, MasterCard, American Express, JCP, and Union Pay):

Please complete the necessary details in the form including your credit card details, signature (same as in your passport & Credit Card) for MasterCard, American Express, Visa, JCP, and Union.

E-mail the filled form to Ascent Trail. Likewise, if you are paying the deposit by Credit Card, it will be charged by Himalayan Bank Ltd. on behalf of Ascent Trails.

*Note - You will be charged extra 4% when you make the payment with a Credit Card.

(2) Payment via Wire/Bank Transfer:

Please note that the Company will not be responsible for any delay or loss during the transfer process. In case money received by us is less than the amount sent because of the mediator bank or any other reasons, you are requested to pay accordingly after your arrival in Kathmandu so that the total amount gets equivalent to the product cost.

Make sure to e-mail us the bank reference number or remittance slips after you have transferred deposit. Sometimes bank forwards the money with a changed name; if we have reference number/remittance slips and sender details, it will be easy for us to check.

(3) Final Payment/Acceptance of Booking/Client details:

After your arrival in Nepal, you can pay the remaining amount for our services like trekking, tours, climbing, expedition or any kind of trips. Final payment can be made by bank transfer, cash or by Credit Card/Debit Card (Visa, American Express, JCP, MasterCard, and Union Pay).

*Note - You will be charged 4% extra when the payment is made by cards.

Booking Policy

We suggest you have at least three months of preparation period before the commencement of the trip. It helps to ensure maximum safety and satisfaction of the client & also allows to have enough to arrange all the necessary documents.

Below is the term of payment:-

  • You have to 30% of the total cost of the package for advance payment to confirm the booking
  •  Before 20 days of the starting date of the trip, you have to pay 40% of the payment
  • Rest 30% of the package cost can be paid upon arrival in Nepal

Documents for Booking

These of your documents are used to get the necessary permits for the trip.

  •  Scanned copy of your Passport
  •  Passport size photo in jpeg format (proper for printing)

*Note:

  • In case of failure of on-time payment, Ascent Trails will not be enforced to provide the services as per the booking and agreement between us.
  • We might take a last minute booking in some cases that is 15 days prior to the trip departure date. For that, you have to pay the full payment of the package for confirmation of the trip.

Amendments

If you wish to do any amendments on your trip, make sure to inform us to 2 weeks before in written form. If any government permits, flight ticket, insurance has been issued and cannot be revoked & refunded, you will be liable for these costs. You may also be liable for the cancellation of airfares purchased on your behalf.

Cancellation Policy

If cancellation is done by the Client:

The cancellation made by a Client must be made in writing and approved by the Company. The date on which the request to cancel is received by the Company or its Representatives will conclude the applicable cancellation charge.

The cancellation charges are executed hereafter as a percentage of the total tour price:

  •  Cancellation 40 days or more before departure: 15% of full payment will be deducted
  •  Cancellation 20 days before departure: 50% of full payment will be deducted
  •  Cancellation less than 7 days before departure: 80% of full payment will be deducted

The Client is strongly advised to take out cancellation insurance at the time of making the booking.

*Note - No refunds will be made if you voluntarily leave a trip for any reason after the trip has commenced. No refunds will be made for any accommodation, transport, sightseeing, meals or services not utilized.

If cancellation is done by the Company:

The Company reserves the right to cancel any trip you booked including a guaranteed trip, prior to departure due to reasons beyond its control (i.e. natural disasters, flight cancellation, political instability, sickness, quarantine, industrial action, wars, protests, government intervention, weather conditions, or other untoward occurrences). In such a case, Ascent Trail will refund the trip price only. If The Company cancels a departure, which is confirmed to run, we will refund the trip price, or you are allowed to take an alternative trip of the same value.

* Note - Significant alterations do not include a change of airline carrier, flight time tables or itineraries provided the departure and arrival dates remain unchanged, the substitution of a vessel, modification of itineraries, and change in cabin category or hotel accommodation provided it is of the same category.

The Company is not liable for any subsidiary expenses or consequential damages that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights or train, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.

Passport & Visa

You must have a valid passport with at least six months' validity from the return date. Nepalese visas can be obtained from the Nepalese Embassies or Consulate in your country or upon arrival at Kathmandu International Airport. However, there are listed countries that need to apply for Visa in their own country. Obtaining your visa is entirely your responsibility.

Full and correct passport information is required when a booking is submitted to us so that we can obtain the necessary permits, fees, and tickets on your behalf. If you do not provide the correct information when you make your booking, we will not be able to make the necessary bookings on your behalf and cannot be held responsible.

Health & Fitness Requirement

All of our packages need a certain level of physical fitness. To participate in Hiking, Trekking, Climbing & Mountaineering, you need to be in good health and shape. You can check our package information to know about the required experience. We do offer pre-departure fitness instruction to help you get ready for the journey. Our instruction includes all the guides to increase your stamina, confidence, muscle power for the trip. If you suffer from severe muscular, chest, heart or bronchial disorders, or if you are a severe asthmatic you are strongly advised to let us know before, so that we can see if the trip suits you or not.

Most of our adventurous trips lead to the remote Himalayan areas where there is no access to medical and hospital services. In the worst case, you get air evacuated. Evacuation, where necessary, can be prolonged, difficult and expensive. Medical and evacuation expenses will be your responsibility and therefore we require travel and medical insurance to cover air transfer evacuation and hospitalization expenses. We reserve the right to refuse any person the right to participate in a trip on medical or fitness grounds. If in doubt, we may be able to design a custom adventure not detrimental to your health.

Travel Insurance

It is mandatory to have travel insurance before to join any adventurous trip to the Himalayas. Your travel insurance must cover things like medical emergencies, illness, accidents, death, loss of personal baggage, personal items, and trip cancellation. All costs for Emergency Evacuation must be paid in cash in Nepal unless an insurance company has agreed to pay all the cost on your behalf. Make sure that your travel insurance covers activities in the Himalayas if you are participating in them.

*Note: Foreigners will not be able to purchase an insurance policy in Nepal. Therefore, it is important to purchase a travel insurance policy in your own country, and it is your responsibility to check whether your insurance policy is adequate or not.

Children

If you are someone under the age of 16 than you must be accompanied by a legal guardian. If you have a question regarding age and suitability, please contact us for further information.

Publicity of Image and videos

While signing the agreement, you agree that Ascent Trails may use images and videos taken by you during the trip without compensating you. The photographs and video only be used for publicity and promotion purposes through whatever medium.

Complaints

If you have any complaints regarding the trip, you can inform your trip leader on the field. He will provide all possible assistance to meet your needs. If there is anything that you can not say to the team leader, you can write to us within 15 days of trip completion. We will make sure to take your criticisms and improve ourselves.

Privacy

As part of the booking and permit process, we will need to obtain personal information from each client. Your personal will be securely kept by us and none of your private or personal information will be disclosed for any other purpose.

Authority

This agreement, the rights, and obligations of the parties will be construed and take effect in accordance with and be governed by the laws of Nepal and the Nepal Tourism Association.
